DTV for Business Owners and Directors: Ownership Versus Work Evidence

Prepare a DTV business-owner file that distinguishes company ownership, your actual overseas role, business activity, remuneration and accessible personal funds.

A company registration can show that a business exists. It may also connect you to that business as a director or owner. It does not, on its own, explain the work you perform, how the business operates or whether the money in its bank account is available to you personally. Those are the distinctions that make a DTV file for an owner different from a conventional employee's file.

The responsible Thai embassy or consulate's current checklist remains the starting point. Our approach is a way to make genuine evidence understandable, not an additional official eligibility test.

The London DTV instructions, updated on 8 September 2026, identify employment or professional evidence for Workcation. Their additional-document section also names business registration for self-employed applicants in its stated context. A director therefore needs to examine the applicable instructions carefully rather than assume that a company certificate answers the entire professional question.

It does not reproduce a freelancer's project portfolio or provide advice on establishing a business simply to obtain a visa.

Describe your role without hiding behind the title

“Director” can describe a position in company records while telling the reader very little about a working week. “Founder” can describe history rather than current activity. “Owner” can describe an investment. Begin with the duties that continue now and those you intend to perform from Thailand.

For example, a hypothetical owner might manage delivery for an overseas software business: agree customer scope, allocate tasks to contractors, review completed work and handle account renewals. Another owner might receive quarterly reports and distributions while an independent management team runs the company. Both could appear in an ownership register, but their professional narratives are different.

Write your role in plain language before collecting supporting documents. Identify recurring responsibilities, who receives your work, which decisions you make and how the work is delivered. Avoid importing a generic chief executive job description that does not match a small business. If you are the only person in the company, say so accurately.

Then identify what evidence already supports the description. A service agreement, ordinary operational record or genuine confirmation from a business counterparty may establish more about the actual role than several pages of personal biography. Choose evidence because it answers a question, not because its branding looks impressive.

Our editorial preference is to keep the occupational title and the duties together. A title without duties is vague. Duties without a clear relationship to the company can look disconnected. The combination helps someone unfamiliar with the business follow the facts without needing to infer them.

Distinguish ownership, management and employment

Ownership, a directorship and employment are related in some businesses and separate in others. Record which relationships you actually have. Do not describe yourself as an employee solely because a visa form appears easier to complete with that label.

The UK government's company-formation guidance provides a useful jurisdiction-specific example: a limited company is legally separate from its owners, a director runs it, and a shareholder can also be a director. That explanation concerns UK companies. For an entity formed elsewhere, use the appropriate local records and obtain local professional clarification where the legal structure is unclear.

Create a short relationship table for your own preparation. List the entity's legal name, your ownership interest if relevant, your registered office or management role, any employment or service agreement and your actual remuneration arrangement. If you perform work through another company, show that additional relationship explicitly.

A person can hold several roles at once. A shareholder-director might also have an employment agreement. A founder might have stepped down as director but remain a consultant. A director might hold no shares. Your file should show the combination that exists, with dates where the arrangement changed.

The value of this distinction is practical. It tells you which documents can support each claim and prevents contradictions between the application form, a company letter and public filings. If you are uncertain what a document legally establishes, resolve that question before using it to make a broader claim.

Check the receiving post before designing the file

Identify the embassy or consulate responsible for your application and establish why you can apply there. A company's registered address does not necessarily establish the applicant's residence. Nor does a business bank account in a country establish permission to submit a personal visa application through that country's post.

The Washington DTV page, updated on 10 September 2026, lists current-location information, residence proof and criminal-record clearance alongside professional and financial evidence. Its examples and time limits belong to that post's instructions. Where the wording and examples leave uncertainty about your residence status, clarify your actual position rather than assuming that the broadest possible reading will be accepted.

Keep a dated copy or reference to the checklist you are using. Separate the categories actually requested by the authority from the additional evidence you propose to explain your business. A preparation suggestion from us should never become an invented rule in your notes.

For each requested item, record whether you have it, whether it needs updating, who issues it and whether translation or certification is required. If the entity is registered in a third country, consider the receiving post's instructions for documents issued there. Do not apply one country's certification process to every file by habit.

Write one sentence beside every proposed document explaining its purpose. If you cannot explain what it adds, consider whether it belongs in the file. Several versions of the same registration record may add volume without resolving the missing question about your current duties.

Also note what each document cannot prove. That small discipline stops a strong company history from being stretched into an unsupported personal claim. Evidence becomes more credible when its limits are clear and another genuine record fills the gap where necessary.

Obtain registration evidence that matches the actual business

Start with the exact legal entity that conducts the relevant activity. Check its name, registration number, jurisdiction and current status. Distinguish a trading brand from the legal name used in contracts and financial records.

For UK companies, Companies House's search guidance, updated on 9 June 2026, explains that public information includes company details, status, officers and filings. This makes the official register a useful starting point for identifying an entity. It does not make every public filing a complete record of your present professional activity.

Read the document you intend to use. An incorporation certificate may establish an historical event, while a current extract answers a different question about present status. A filing might list a resigned officer or an old registered address. Do not submit it as current evidence without explaining the dates.

If the business uses a registered-office service, distinguish that address from the place where staff work or operations occur. There is no need to invent an office with employees simply because the company has an official address. Describe the arrangement in ordinary terms and use appropriate evidence for any operational location you claim.

If the entity has changed its name, preserve the connection through genuine records. Avoid replacing the historical name in old contracts or invoices. A short chronology can explain that an agreement predates the name change and that the registration number connects the documents. Accuracy is more useful than visual uniformity achieved by altering records.

Explain a group structure only as far as it matters

Owners of several entities face a common presentation problem: the personal role, customer contracts and payments sit in different places. A simple chart or table can help, but it should show the relevant relationships rather than every business you have ever owned.

Begin with the entity through which you perform the activity relevant to the application. Then add the entities necessary to explain ownership, contracting, payment or employment. Label each connection: owns shares in, engages, invoices, pays or provides services to. An arrow without a label can leave the reader guessing what the relationship means.

Consider a hypothetical structure where a holding company owns an operating subsidiary. Customers contract with the subsidiary, while the applicant receives remuneration from the holding company under an existing arrangement. Registration records alone may not explain that payment flow. The file needs the actual agreement or other relevant records that connect those facts.

Do not assume that a name shared across several companies makes them interchangeable. Check the legal entity on each bank statement and contract. A group brand may be the same while ownership, jurisdiction and responsibilities differ materially.

We recommend omitting unrelated entities unless they are requested or necessary to explain the case. If a dormant property company has no connection to your professional purpose or financial evidence, its inclusion may create avoidable questions. The goal is a complete explanation of the relevant arrangement, not a corporate autobiography.

Show that the business operates, then show your contribution

A business website can introduce the company, but it may not establish current commercial activity or identify your contribution. Pair a clear description with genuine records of what the business actually does.

Choose representative operations that are understandable without specialist knowledge. An ongoing service arrangement, a completed delivery or a recurring customer relationship may provide a useful example. Explain the service, the relevant period and the role you personally played. Avoid making the applicant appear responsible for every output produced by employees or contractors.

For an owner who manages rather than produces the final work, the evidence may concern planning, review, commercial decisions or customer coordination. There is no need to pretend that a director personally writes all the code, designs every product or delivers every service. Describe the management work accurately and identify appropriate supporting records.

A hypothetical agency owner might use an ordinary project plan showing their responsibility for scope and delivery, alongside a genuine customer confirmation and the company's agreement. That is an illustration of a possible evidence relationship, not a required document combination or a statement that such a case qualifies.

Keep commercially sensitive material proportionate to the question. A reviewer generally needs an understandable connection between business, role and activity; a complete customer database creates a different and unnecessary disclosure. Where the responsible post requests specific evidence, address that request directly and ask about acceptable alternatives if disclosure restrictions prevent providing it.

Draft a role letter that can be checked

A role letter should explain existing facts. Begin with the legal entity, the applicant's relationship to it, the role's start date where relevant and the duties currently performed. Add the arrangement for carrying out those duties remotely if that is genuinely established.

Use specific activities rather than promotional language. “Reviews monthly delivery plans and coordinates overseas customer accounts” gives the reader something to connect to records. “Visionary global leader with exceptional talent” is unlikely to clarify the application unless a particular claim is relevant and supported.

Identify the person signing and the basis of their knowledge or authority. In a larger business, an authorised colleague may be able to confirm the arrangement. In a company controlled entirely by the applicant, do not disguise a self-issued letter as independent verification. State the relationship openly and consider what genuine outside records support its contents.

A letter from an accountant can confirm matters within the accountant's actual knowledge. It should not be drafted to certify daily responsibilities the accountant has never observed. A customer can confirm the service relationship they know, but should not be asked to certify immigration eligibility. Match the statement to the writer's knowledge.

Avoid adding a salary, office, employment relationship or future contract merely because it seems persuasive. If remuneration is irregular or paid in another form, explain the real arrangement with the appropriate records. A concise truthful letter is easier to reconcile than a polished letter built on assumptions that other documents contradict.

Understand the limits of signing your own confirmation

An owner may legitimately be authorised to sign for the company. That does not make every statement in a self-signed letter independently established. Treat the letter as an explanation and connect material claims to records that already exist.

Ask which facts can be corroborated outside the letter. Official filings may establish a directorship. An existing agreement may establish an engagement. Customer or supplier records may help explain operations. Payment records may establish a transaction. No single document needs to do all those jobs.

If someone else signs, do not describe their role inaccurately to create an appearance of independence. A fellow shareholder, family member or contractor may know relevant facts, but their relationship should remain clear. Nor should a signature be obtained from someone who cannot verify the content.

We would also distinguish company authority from visa authority. A board resolution authorising remote work can explain a company's decision where that resolution is genuine and relevant. It cannot decide what activity Thai immigration or labour rules permit. The company can describe its arrangements; the appropriate authorities determine the applicable permissions.

For a small company, transparency about the structure is often the clearest approach. Explain that you own and manage it, identify what you do, and provide corroborating records where available. Do not create a fictional human-resources department or a retrospective paper trail to make the business resemble a conventional employer.

Trace remuneration without relabelling it

Owners may receive salary, dividends, repayments, expense reimbursements or other transfers. Those labels have different meanings. Use the actual classification supported by the business records and obtain accounting clarification if you do not understand a payment.

The UK government's guidance on taking money out of a limited company distinguishes salary, dividends and directors' loans, with different records and responsibilities. We cite it as an example for UK companies, not as a rule for every jurisdiction or as a recommendation about how to pay yourself.

For the evidence file, select a genuine payment and follow it from the relevant company record to the personal receipt. Identify the date, payer, recipient, currency and nature of the transfer. Explain an intermediary where a payroll provider or payment service appears instead of the company name.

If several payments are combined, prepare a clear reconciliation. A bank credit may include both salary and reimbursed expenses; calling the whole amount salary would obscure the actual record. If the payment is a distribution, do not imply it proves that you performed professional work during the same period.

Timing also matters. A distribution paid this month might relate to an earlier period, and an unpaid amount recorded in accounts is not necessarily money already received. Keep accounting recognition and actual payment separate in the explanation. The aim is an understandable record, not a smoother-looking income pattern than the business actually has.

Keep company money separate from personal available funds

The professional file and financial-eligibility file serve different purposes. Evidence that a company is profitable may help explain its activity, but it does not automatically establish the applicant's personal accessible funds.

For UK limited companies, official company-record guidance expressly distinguishes company finances from those of owners and directors because the company is a separate legal entity. Other business structures need their own accurate explanation. Do not assume that having sole control of a business bank account makes its entire balance personal savings.

Prepare a separate personal-funds schedule using the evidence required by the receiving post. Record account ownership, currency, statement period and availability. If the source is a genuine payment from the company, preserve the record explaining that transfer and its nature. If the money has not been distributed or is subject to restrictions, say so accurately.

Washington's current DTV instructions provide a specific example of the distinction: they request recent savings or checking statements for three months with the required ending balance each month. The company's annual turnover does not answer that statement-period question. Another post's exact financial instructions must be checked independently.

Any proposed transfer from a company should be assessed through the appropriate accounting and legal process, then represented accurately in the application evidence.

Describe overseas operations without treating geography as a slogan

“Overseas business” needs an explanation of what is overseas. The place of incorporation, customer locations, staff locations, contracting entity and applicant's working location may all differ. Record the facts rather than assuming that one foreign address resolves the whole question.

For each relevant activity, identify who receives the service and through which entity it is supplied. Explain whether your role concerns managing an established foreign operation, delivering services remotely, or undertaking something involving a Thai business. If some customers are in Thailand, disclose that fact for the route assessment.

The Ministry of Foreign Affairs' general visa guidance treats permission to work as a separate matter requiring the correct permission and status. Read that general framework together with current DTV category guidance; do not use the Workcation label as a blanket authorisation for ordinary local employment or every business activity.

A hypothetical director who plans to continue online coordination of overseas customer accounts presents a different question from someone who plans to manage staff at a Thai shop. Both might own a company abroad. The foreign ownership fact does not remove the need to assess the actual intended duties.

We would keep a list of any activities whose treatment is uncertain and obtain advice on those precise facts. Do not alter the description to eliminate the uncertainty. It is more useful to resolve the boundary before travel than to discover that the business plan depended on an assumption about work permission.

Handle new companies and interrupted trading honestly

A newly incorporated business may have genuine plans but a short operating history. A long-established company may have paused trading. Neither situation should be hidden by selecting only the most flattering dates.

Create a chronology covering incorporation, the start of actual activity, the applicant's involvement and any material changes. Identify what has happened and what is still planned. An unsigned proposal belongs under proposed business, while a completed engagement belongs under actual activity. Do not present forecasts as achieved revenue.

For a new company, existing professional history may provide useful context if it genuinely relates to the present role. Explain the transition from employment or another business and preserve the distinction between the old and new entities. A previous employer's customer list is not automatically the new company's customer base.

For interrupted trading, explain the period and its relevance. A company can remain registered while activity has changed. If the applicant is currently preparing to restart, say that rather than implying continuous operations through a quiet period. The UK company guidance itself distinguishes incorporation from immediately beginning to trade; registration and operational history should therefore not be treated as identical facts.

We would not advise creating transactions, acquiring a dormant company or issuing retrospective agreements to manufacture evidence. If the present records do not support the proposed purpose, identify the gap and assess whether a later application or a different genuine route makes more sense. The answer depends on the actual situation and authority's criteria.

When the company website and documents disagree

Public information and formal records sometimes reflect different moments in a business's history. A website may still use an old brand, an invoice template may carry a former address, or a biography may describe a role the applicant no longer holds. Review these differences before submission.

Separate an understandable historical difference from an actual error. A contract signed before a company-name change can remain accurate as a historical record. A current letter naming the wrong legal entity should be corrected by its genuine issuer. Do not edit original contracts or bank statements to make them appear current.

Prepare a short explanation where the difference is material. Identify the dates and records that connect the names or roles. Avoid a long defensive narrative about every small branding variation; focus on differences that could cause the reader to confuse entities, people, periods or relationships.

If your own website is inaccurate, update it through the normal business process because it should represent the business correctly. Do not add invented staff, clients, credentials or offices for a visa application. A newly polished website with unsupported claims creates additional evidence questions rather than solving the original one.

Before finalising the file, ask someone unfamiliar with the business to identify the legal entity, your role and the payer using only the submitted material. If they reach different answers from yours, revise the explanation or resolve the conflicting record. This readability check is an editorial exercise, not an official adjudication test.

Protect business confidentiality while retaining meaningful evidence

Company records can contain customer information, employee details and confidential commercial terms. Decide which material is necessary before copying a large archive into the application folder. Having access to a document does not automatically mean you are authorised to disclose every part of it.

Check the relevant contractual or professional restrictions and, where necessary, obtain an authorised summary or permission to use a document. A customer may be able to confirm the relationship without disclosing its confidential project. An accountant may confirm a payment classification without supplying unrelated client information.

Redaction requires judgment. Removing unrelated personal data can be appropriate, but removing every identity, date and reference may make the evidence impossible to follow. Write down what the document needs to establish, then check whether the proposed submission copy still establishes it. If a material element cannot be disclosed, ask the receiving post about acceptable alternatives.

Keep originals intact and label any redacted submission copies clearly. Record what was removed and why. Do not obscure an inconvenient fact under the label of confidentiality, and do not describe an edited copy as an unchanged original.

For an initial TVC assessment, start with the structure of the business and a description of the records available. A complete customer contract archive is not needed to begin that conversation. The document stage should follow a clear understanding of purpose, recipient and handling arrangements, especially where the file contains material belonging to other people or organisations.

A real Reddit experience: more records did not remove a request

In an older Reddit account of a self-employed DTV application in Austria, the author described providing business-registration material, confirmations from commercial and accounting contacts, and payment records. They reported receiving an additional request for business registration despite having included material they believed addressed it, and later reported approval.

This is a useful illustration of a document-mapping problem. A file can contain considerable evidence while leaving uncertainty about which item answers a specific request. Our preparation lesson is to identify each document precisely and explain its function. It is not to assume that the same set will produce the same result elsewhere.

The account is an anonymous self-report from the early DTV period, approximately September 2024. We could inspect the post, but not the person's actual application or official decision. The narrative also contains a weekday-and-date inconsistency, so we do not use it to establish exact processing time. It predates the current September 2026 checklists.

For business owners, the relevant question is how to make an unfamiliar registration document understandable. Name the issuing authority, explain the document's local function and show where it identifies the company and applicant. If the responsible post asks for something else, respond to that request rather than assuming a familiar-looking substitute must be enough.

We do not treat Reddit votes, comments or one reported outcome as evidence of an acceptance rate, a universal document list or a certain decision.

Respond to a document request by identifying the missing fact

If the authority asks for additional evidence, begin with the exact request and its deadline. Preserve the message and note which application it concerns. Do not immediately upload the entire business archive again.

Identify whether the request concerns a missing document, an unreadable file, an unclear relationship or a fact not established by the original submission. Those problems need different responses. A higher-resolution registration certificate can fix legibility, but it cannot explain duties absent from the certificate.

Map the requested fact to the relevant record and add a concise explanation where necessary. If you already submitted the document, state its name and identify the relevant part without implying that the reviewer was obliged to infer its purpose. If the requested item does not exist in the company's jurisdiction, explain that accurately and ask what alternative can be considered.

Keep track of versions. A replacement letter should not silently change the applicant's role, salary or company name. Where a genuine correction is needed, identify it so that the earlier and later records remain understandable. Do not withdraw an inconvenient fact by omitting it from a new version.

We recommend maintaining a simple response record: request received, question to answer, evidence supplied, explanation, submission date and confirmation. This preserves the history for any later review. It also prevents different people helping with the application from sending inconsistent answers to the same request.

A hypothetical owner file, assembled from ordinary records

Imagine an applicant who owns and manages a small overseas software-support company. The company has two contractors, several recurring customers and a trading brand different from its legal name. The applicant receives a modest salary and occasional distributions. This is a hypothetical illustration, not a TVC client case or a predicted visa outcome.

We would first identify the legal entity and the applicant's connection to it. A current official record and genuine ownership or appointment documentation would support those facts where relevant. A short note would connect the trading brand to the entity used in agreements and bank records.

Next, we would explain the applicant's current work: managing customer scope, reviewing contractor delivery and handling renewals. A role confirmation would describe those duties, while a small selection of ordinary operating records would show the applicant's contribution. We would avoid implying that the applicant personally performs every contractor task.

The remuneration section would keep salary and distributions distinct. One example of each relevant payment flow might help explain the arrangement, subject to the responsible post's actual requests. The personal financial evidence would remain a separate section using the required account records and period.

Finally, we would check the proposed activity from Thailand, filing eligibility and current checklist. If one customer or operation created a Thai work-permission question, we would identify it openly for assessment. A well-organised file is valuable because it makes that question visible; it should not conceal it beneath a persuasive business story.

A different hypothetical: a passive shareholder with substantial assets

Now imagine an applicant who owns part of an overseas business, receives distributions and attends an annual shareholder meeting but does not work in the company. The business is successful and the applicant has significant personal savings. That financial strength does not, by itself, explain a Workcation purpose.

We would record the ownership and payment arrangement accurately, then ask what professional activity the applicant actually proposes to perform. If there is none, adding an executive title to the application would create a different story from the evidence. The correct next step is to assess a genuine purpose and route, not write a more elaborate owner letter.

If they intend an eligible activity or qualify through a family relationship, those are separate factual possibilities to examine. None should be assumed merely because the Workcation file is weak.

This comparison shows why our first question is about the applicant's work rather than company size. A small business can have a clearly documented active owner, while a large investment can be passive. Revenue, asset value and prestige are not substitutes for identifying the role.

It also avoids unnecessary disclosure. Once it becomes clear that the proposed professional purpose is absent, there is little value in collecting every contract and account from a company whose operations the applicant does not perform.

Final consistency review before submission

Read the application as someone encountering the business for the first time. Can you identify the applicant, the relevant entity, their relationship, the current duties and the proposed arrangement in Thailand without guessing? If not, improve the explanation or resolve the missing record.

Compare names and numbers across the form, passport, registration material, agreements, letters and financial evidence. Distinguish legitimate spelling or translation variations from a different entity or person. Explain material variations using the genuine underlying record rather than editing original evidence.

Check dates as a sequence. Incorporation, appointment, trading, contract, invoice and payment dates should tell a coherent story. A record issued recently may describe an older event; label both accurately. Avoid calling an expired agreement current or making historical work sound ongoing.

Check the scope of every statement. Does a letter claim independence it does not have? Does company turnover appear under personal income? Does a bank transfer prove receipt but leave its nature unexplained? Does a role description imply activities you do not intend to perform? Resolve those questions explicitly.

Finally, check the actual upload requirements and the authority's current checklist. Our evidence map helps readability, but the receiving post controls what it asks you to submit. Keep a complete copy of the final file and any explanations so you can answer later questions consistently. A clear record of what was submitted is part of a usable application process.

Frequently asked questions

Is a certificate of incorporation enough for a business owner?

It may establish that the entity was incorporated, but it does not necessarily establish current operations, your present role or personal available funds. Use the exact checklist and identify which question remains unanswered. More copies of the same certificate will not resolve a missing explanation of what you actually do.

Do I need to put myself on payroll before applying?

Do not change the business arrangement merely to fit an assumed visa template. First establish the applicable professional-evidence requirements and describe your actual role and remuneration. A company payment decision can have accounting and legal consequences that deserve separate advice. An accurate file should explain the arrangement that genuinely exists.

Can my accountant write the whole professional explanation?

An accountant can confirm matters within their knowledge and engagement. They may understand the company structure or payment records without knowing your daily work. Use their contribution for the facts they can establish, and obtain other appropriate records for the rest. Do not ask them to certify immigration eligibility or activities they have not verified.

What if I am both the only director and the only employee?

Explain that structure openly. Identify your actual duties and any genuine employment or service arrangement, then connect those statements to available records. Do not invent a separate manager or human-resources team to sign a letter. The responsible post may ask for additional evidence, so clarity about your role and the source of each statement matters.

Can a company bank balance satisfy the personal financial requirement?

Do not assume it can. Establish the exact account and ownership evidence accepted by the receiving post. A company may be legally separate from you, and a large corporate balance may have obligations attached to it. Keep company strength and personal available funds distinct, with genuine records explaining any relevant transfer between them.

Should I include every company I own?
